Privacy Policy

This policy explains what information the Islamic Association of North America (“IANA,” “we,” “us”) collects through ianacon.org, why we collect it, who it is shared with, and the choices you have. It covers the IANA Minnesota Convention website and the registration, application, and contact forms on it.

1. Information we collect

We only collect information you choose to give us by filling out a form on this site. You can browse every public page of this website without submitting any personal information. What we collect depends on which form you use:

Contact form

Your name, email address, the topic you select, and your message.

Used only to respond to your message.

Volunteer application

First and last name, email address, phone number, age, sex, t-shirt size, availability, area of interest, relevant experience, and the name and phone number of an emergency contact you provide.

Quran Competition registration

Participant's first, middle, and last name, age, competition category, whether they have competed before, and their school or institution, plus teacher name and phone number if given. For adult participants we collect their own email and phone; for participants under 18 we collect a parent or guardian's name, email, and phone instead.

Graduation registration

Graduate's first, middle, and last name, age, the program or institution they are graduating from, teacher name and email, cap-and-gown preference, and any notes submitted with the registration.

Sponsorship application

Organization name, contact person's name, email address, phone number, sponsorship tier, website, any notes, and a logo file if you upload one.

Bazaar and vendor application

Business name, contact person's name, email address, phone number, business category and description, requested booth size, website or social media handle, and a logo file if you upload one.

Visiting the site also generates routine server logs (such as IP address, browser type, and the pages requested) as part of delivering it securely. We use these only to operate and protect the website and to monitor how well it is performing.

2. Payment information

Registration fees, sponsorship payments, and vendor booth payments are processed by Square. Convention tickets are sold through Eventbrite.

We never see or store your card number.When you pay, you are handed off to Square’s or Eventbrite’s own secure checkout, and your card details go directly to them. What comes back to us is limited to a confirmation record — a payment reference number, the amount paid, and whether the payment succeeded — which we store alongside your application so we know it is paid.

3. How we use your information

  • To process and review your registration, application, or volunteer signup.
  • To send you confirmation emails and the details you need — shift assignments, competition schedules, booth information, and similar logistics.
  • To contact you if we have a question about your submission or need to reach you about a change.
  • To reach your emergency contact if something happens to you during the convention.
  • To answer the message you send us through the contact form.
  • To keep internal records of participation, payments, and attendance for the event.
  • To operate, secure, troubleshoot, and monitor the performance of the website.

We do not sell your personal information, and we do not rent, trade, or share it with advertisers. We do not use your information to build advertising profiles.

4. Who we share it with

We share information only with the service providers that make this site and the convention run, and only to the extent they need it to do that work:

  • Our website hosting and data storage providers, which keep this site online and store submitted registrations and applications securely.
  • Our email delivery provider, which sends the confirmation and notification messages described above.
  • Square and Eventbrite, for the payment and ticketing purposes described in section 2, each under its own privacy policy.

Beyond these providers, we share information only when we are required to by law, when we need to respond to a legal request, or when it is necessary to protect the safety of attendees, staff, or the public. Convention organizers and volunteer coordinators within IANA also have access to submissions relevant to their role.

5. Cookies and browser storage

We store a small number of functional items in your browser. These stay on your device and are used to make the site work as expected:

  • A short-lived record of a registration in progress, so your payment can be matched to your submission after checkout.
  • A sign-in indicator for organizers who access our internal tools.

You can clear these at any time through your browser settings. Note that Square and Eventbrite may set their own cookies on their checkout pages, which are governed by their privacy policies rather than this one.

6. Children's and minors' information

Some of our programs are for young people, so we do receive information about minors — most often through the Quran Competition and graduation registrations.

Registrations for a participant under 18 must be submitted by a parent, legal guardian, or an authorized representative of their school or institution, and we collect the adult’s contact details rather than the child’s. This website is not directed to children, and we do not knowingly allow children under 13 to submit their own personal information to us directly.

If you are a parent or guardian and believe a child has submitted information to us without your involvement, email ianaforallevents@gmail.com and we will delete it.

7. Information about other people

Some of our forms ask for another person’s details — an emergency contact, a teacher, or a parent. Please only provide those details if you are entitled to, and please let that person know. We use their information solely for the purpose it was given: reaching an emergency contact in an emergency, or verifying and coordinating a participant’s registration.

8. How long we keep it

We keep registration, application, and volunteer records for as long as needed to run the convention and to maintain reasonable records of participation and payment afterward — including for accounting, reconciliation, and planning the following year’s event. Contact-form messages are kept only as long as they are useful to resolve your inquiry. When information is no longer needed, we delete it or stop using it. You can ask us to delete your information sooner, as described below.

9. How we protect it

Information is transmitted over encrypted connections and stored with established providers that maintain their own security programs. Access to submitted information is limited to the organizers who need it.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach ever affects your information, we will notify you and any authorities as required by applicable law.

10. Your choices and rights

As a matter of policy, we honor these requests from anyone who has submitted information to us, wherever you live:

  • Ask for a copy of the information we hold about you.
  • Ask us to correct information that is wrong or out of date.
  • Ask us to delete your information, subject to records we must keep for accounting or legal reasons.
  • Withdraw a volunteer application or registration.
  • Unsubscribe from non-essential email at any time. We may still need to send you transactional messages about a registration you have already made.

Email ianaforallevents@gmail.com with your request and enough detail for us to find your record. We will respond within a reasonable time, and we will not treat you differently for exercising any of these rights. Depending on where you live, you may have additional rights under local privacy law; contact us and we will work with you to honor them.

11. Photography and recording at the convention

The convention is a public community event, and IANA and its designated photographers take photos and video during it for documentation and promotional use, including on this website and on our social media. By attending, you should expect that you may appear in this footage.

If you would prefer not to appear in promotional material, let a staff member know at the event or email ianaforallevents@gmail.com, and we will do our best to accommodate you and to remove identifiable images of you from our own channels on request.

13. Changes to this policy

We may update this policy as our programs and forms change. When we do, we will revise the “last updated” date at the top of this page. If a change materially affects how we handle information you have already given us, we will make a reasonable effort to notify you directly.
